How We Helped Railways Company Control KPIs in Real Time

There is no point in having all the data in the world as long as you don’t know how to manage it. The bigger the company is, the more serious are the consequences of mistakes and inaccuracy.

We are proud to share the results we’ve achieved with a railways company after developing and implementing a unified control and monitoring system. Read more to learn how we’ve done it.

About the company

Large railways transport company with 166,895 freight cars, 30,000 passenger cars, more than 1,000,000 employees.

Why Was it Necessary

The managers of the company in question have faced a problem of inaccurate and out-of-date reports. The same KPIs could be found in various information systems, data presentation styles were different, and all the departments followed different rules while collecting data. They also had a few outdated integrations with other softwares which made it difficult to track the data sources.

The geographical distribution and complexity of the organizational structure as well as the variety and complexity of business processes have led to strict requirements for the analytical system.

The main goal was to get rid of time-consuming report preparation and reduce the manual labor. That it how we established a need for a comprehensive analytical system

Our Project

After audit and series of interviews with the stakeholders, we’ve prepared an action plan:

  • Development of single methodology
  • Formalization and standardization of KPIs
  • Definition of data sources, owners and rules for calculation of KPIs
  • Development of data model
  • Design of data storage and the whole chain of data load
  • Development of integration mechanism, storage layers and data marts
  • Implementation of analytical reporting system for top management and then for all business units of the transport holding company

We have also established that the system would have to cover various business domains:

  • Freight logistics
  • Passengers logistics
  • Infrastructure maintenance
  • Car maintenance
  • Technological violations
  • Economics and Finance
  • Procurement
  • Transport security KPIs
  • Monitoring of transport accidents
  • Investment
  • HR
  • Task

About the Results

  • The solution is integrated with more than 46 source systems, collects and processes more than 270,000 company performance indicators and includes more than 275 reporting forms for 30 structural divisions of the company.
  • The individual functional blocks of the Control and Monitoring System offer opportunities for end-to-end navigation both in a comprehensive analysis of the company’s performance and in dealing with individual aspects of its activities. For example, investment project management, the production and technological block, the achievement of strategic goals, etc.
  • Right now the top management of the company actively uses the system as part of their daily work for operational and conference calls. In the nearest future, it is planned to expand the number of processed indicators to 400 000 the number of reporting forms up to 500.
